An evidence pack is not a dump of every policy PDF. Supervisors typically ask to see how a control runs on a normal day: who initiates it, what they record, who reviews the record, and how exceptions are closed.
Build each pack around a single control. Include the current approved procedure, the last three months of operating records, exception logs, and the name of the person who can speak to the process without reading from a script. Version dates matter; outdated headers raise questions even when the practice is sound.
Keep packs bilingual when your floor language and the inspection language differ. Thai and English versions should describe the same steps—not parallel, conflicting stories. A short cover note listing folder contents saves minutes during the visit.
Refresh packs after every material change: new branch, new product, or new circular. Stale packs are a common finding even in otherwise orderly firms.
